The frustration often grows when you’ve tried to follow someone else’s perfect-looking picture and it simply doesn’t fit your real life.
Maybe you’ve spent hours scrolling Pinterest, saving color-coded pantries, or those picture-perfect laundry rooms where not a single sock is out of place. They look dreamy, but when you try to copy them, they collapse in a matter of weeks, or even days. Let’s be real. Those polished organizing pictures aren’t lies, they’re just staged. Behind the glossy bins and rainbow-colored hangers, there are:
Budgets that don’t match yours. (Not everyone can or wants to spend $1,000 to organize a pantry.)
Families with different habits. What works for a single person in a studio apartment won’t work for a busy mom with three teenagers.
Maintenance that isn’t realistic. If a system takes an extra 20 minutes every day to keep up, it won’t survive in real life.
When you try to squeeze into someone else’s setup, you end up with more chaos, not less. The hidden cost here is wasted money on bins that don’t fit, wasted time on routines you can’t sustain, and wasted energy beating yourself up.

How to Build Systems That Work for You
Here are the steps I use with clients to build functional, personalized systems:
1. Start with Self Reflection and Pain Points, Not Pretty Pictures
Ask yourself:
What areas are getting cluttered the fastest?
Where am I constantly losing time?
Where do I naturally put items?
What space makes me feel the most overwhelmed?
What routines are always breaking down in my home?
For some, it’s the kitchen counter. For others, it’s the never-ending laundry pile. Your systems should target your struggles, not someone else’s highlight reel.
2. Simplify, Don’t Complicate
If a system is too complicated, you won’t use it. Labels, bins, and baskets should make your life easier, not add stress.
Think “grab and go” rather than “color code and alphabetize.”
What do we use the most? This should go eye level or in your prime real estate area.
What do we use the least? This should go up high, down low or in a low traffic area.
What are the best days and times to complete said task?
3. Choose Function Over Aesthetics
A Pinterest pantry might look great, but does it really help you cook faster? If your system isn’t Saving you Space, Time, Energy, or Money, it’s just decoration.
4. Use the Right Tools for Your Needs
This doesn’t mean overspending. The right product can make a big difference, but it should always serve your routine. (I’ll share some of my favorite tools below.) Make sure they not only look good but they fit the space and the items they’ll be holding.
5. Set and Adjust
Not all systems are perfect the first time AND even the perfect system can become unperfect when your life begins to change. Give yourself permission to tweak and refine. Your life, your family and household will change and so should your systems.
Real-Life Examples of Customized S.Y.S.T.E.M.s
The Drop Zone: Instead of a decorative console table, one family I worked with used a bench with hidden storage and wall hooks for backpacks. This turned a cluttered entryway into a functional landing zone.
Laundry Simplified: A client gave up on sorting laundry by color every single time and instead set up three rolling hampers labeled “lights, darks, towels.” Suddenly, the laundry routine became manageable and she was able to enlist the help of her family and not worry.
Kitchen Efficiency: Another client ditched uniform pantry jars (which took too much time to maintain) and used clear stackable bins. Now they can see inventory at a glance and avoid wasting money on duplicates.

These systems weren’t necessarily “Pinterest perfect,” but they were life-changing because they worked for real families.
